How would I feel if someone will argue me or misguide me?
When you put yourself on the place of a customer, you actually get to know the requirements of a customer. If you fulfil a customer’s requirements, then the customer would be happy, hence results in the growth of your business. So, always treat your customer politely and respectfully, point him/her in the right direction, offer some discounts to him, do everything possible to solve customer’s problem. A lot more you can do that makes a customer happy.
2. Be friendly and Empathize
Some people are friendly in nature while others are not. For others, it might hard to learn to be empathetic. But it can be learned. All you need is to feel the customer’s side. the pain, the problem or issue, their desires, most of the thing that goes on in the customer’s mind.
Care for your customer, get involved in the problem of the customer such as they feel you’re really making efforts and you’re on their side. Be good at asking, don’t assume anything. Simply ask. If you’ll minimize your customer’s feeling you are going to ruin your relationship with that customer (maybe forever).
3. Be Honest, Admit and Fix your mistakes
We are humans, and there is no doubt that humans make mistakes. It is very obvious that some mistakes could be drawn in a company during customer service. Business is directly proportional to its transparency. So, if you make any mistake, just admit it and apologize for your mistake. Try as hard as possible to fix your mistake, it’ll help you to build your reputation in an organization.
If you make a mistake and point it to someone else, or you just try to pull away from yourself from a mistake, you’re just going to ruin your reputation. People think that you’re irresponsible. So, always admit your wrongdoing. Learn from your mistakes and move on. I assure you if you’ll practice this, your good will be better and your better will be best.
4. Be Responsive – Respond quickly ASAP
In today’s age, everyone needs their work to be done quickly. No one wants to wait. Response time to a customer’s query plays an important role in customer service. I’m not saying that you have to respond to every query within 10 minutes, but you have to respond as soon as possible. The quicker you reply to a query the better it will be. Customer will feel like you’re prioritizing him/her.
If you do not have the solution to the query, then it doesn’t mean you’ll not reply. But you have to reply like “I’ve received your query, and I’m working on it. I’ll get back to you soon with the desired information and solution…”. It’ll make your customer feel relaxed. If you don’t respond to a query, the customer is like you’re annoying, and (s)he will leave you, the customer will feel like you don’t value him or her.
5. Know your product/service
You can sell your product or service efficiently only if your customers trust you, your product, your brand, or your services. The trust can be made by a great representation of a product or service and a great representation can be given by a knowledgeable representative. Ultimately, it requires knowledge, so it is mandatory for you to know your product or service like no one does.
On the other hand, if you don’t know much about your product or service, if you’re unable to explain well, then for sure, you’re going to run away your customer. If the answer to some question is not known to you, be honest. You can say something like – “Right now, I don’t know the exact answer to your question, but this is really a good question, I’ll get back to you with an appropriate answer. Thanks.” Also, get back to them soon. Keep your word.
6. Think for Long-term: A customer for Life-Time
Most of the people never regret investing in a company where they are happy. Happy in sense of customer service. And the staff of a company underestimates the importance of a lifetime customer. Let’s say a happy customer is investing $1000 every year on your product/service. What if (s)he invests this much of amount for the next 30 years. You’d be benefitted with greater slope. You can make millions, billions or even trillion depending upon your industry type.
So, while talking to a customer, focus that you have to keep them for a lifetime. Make sure to keep them all to provide excellent customer service, so you could make the best out of it.
